# Meeting time split — agenda vs small talk vs Ashton tangents (ESTIMATES)

Scope: last 4 recorded meetings per series (Core Team Weekly, Biz-Dev & Partnerships Weekly, Communications Weekly, Marketing Weekly) + Operations Call 1 as an extra (not in averages). Newer meetings through 26 Oct 2026 were pulled from Drive. Every number is a judgment-based estimate, not a measurement.

## Rubric
- **On-agenda (A):** discussion of an item listed on that meeting's Notion agenda/action items (or, where the page was empty, the Gemini Summary/Next steps), plus needed context, decisions, status updates and assignments. An agenda-listed topic counts as A even when Ashton speaks at length (see the monologue column).
- **Greetings/small talk (G):** hellos, waiting for people, audio/recording troubleshooting, jokes, personal chat, breaks, goodbyes.
- **Adjacent (J):** real company work that is NOT on that meeting's agenda (e.g. BD/partnership strategy in a comms meeting, tool admin, token allocation not listed), or other people's side chatter. Categories G+J together = the user's bucket 2 ('greetings, small talk, adjacent').
- **Ashton tangent (T):** Ashton-dominant stretch (>=75% of the words in the segment, ~1+ min) on topics that are not agenda items and don't produce a decision/action: personal interests, history/geopolitics lectures, worldview lore, anecdotes (e.g. martial arts, British Empire/East India Company, left/right politics).
- Method: transcript split at Gemini's own timestamp blocks (47-173 blocks per meeting, ~1 min each); each block gets ONE label (so a block with mixed content is rounded); durations summed (duration-weighted, not turn count). Agenda items were matched from Notion Calendar pages.

## Per-series averages (mean of the 4 meetings; duration-weighted in brackets)

| Series | agenda % | small talk % | adjacent % | small+adjacent % | Ashton tangent % |
|---|---|---|---|---|---|
| Core Team | 87.7 (89.7) | 5.6 (4.4) | 6.6 (5.7) | 12.2 (10.1) | 0.1 (0.2) |
| Biz-Dev | 64.2 (57.7) | 9.9 (12.9) | 20.2 (21.7) | 30.1 (34.7) | 5.7 (7.7) |
| Communications | 45.8 (47.2) | 2.3 (2.3) | 33.0 (33.5) | 35.3 (35.9) | 18.9 (16.9) |
| Marketing | 66.0 (66.6) | 5.1 (6.2) | 19.4 (18.3) | 24.5 (24.5) | 9.5 (8.9) |
| ALL (16 meetings) | 65.9 (68.4) | 5.7 (6.1) | 19.8 (18.1) | 25.5 (24.1) | 8.6 (7.5) |

**Overall (16 meetings, 1366 min): ~66% agenda, ~26% small talk/adjacent (~6% pure small talk, ~20% adjacent), ~9% Ashton tangents** (mean of meetings); duration-weighted 68/24/8.

## Trend (Aug -> Oct)
See c_trend_over_time.png. Agenda share rises from ~43-70% (Aug marketing meetings) to 64-81% in October pooled weeks, but with big single-meeting spikes of tangents: Marketing 26 Aug (29%), Biz-Dev 7 Oct (23%, ~20 min of martial-arts lecture, plus ~25 min of sleep/health small talk), Communications 22 Oct (73%, book-driven lecture on empires/cabals; none of the listed Notion agenda items were covered). Core Team Weekly is consistently the most agenda-bound (88% avg) but ~53-72% of its agenda time is Ashton speaking in near-monologue (>=90% of words).

## Caveats
- Single label per ~1-min block; mixed blocks are rounded. Real split is blurrier; treat +/-10 points per meeting as plausible.
- Notion agenda pages are living docs edited after meetings (contain post-meeting notes) and were not versioned, so some items may postdate the meeting; Notion dates are week-start (Monday) planning dates, matched to meeting by week + content.
- Marketing Weekly (Drive title until 3 Sep) maps to the Notion 'Communications' series (Comms Weekly 03/05/06); 3 Sep continuation shares the 2 Sep page. Biz-Dev 14 Oct Notion page was empty -> Gemini summary used (short 17-min meeting, all labelled agenda except last block).
- Transcript is machine-generated; speaker attribution is mostly good but some turns are merged/mislabelled; Ashton's word share (76-97%) is likely slightly inflated by merged turns.
- 30.txt (5 Oct Core, 185 min) and 28.txt (3 Sep, includes a ~16 min break labelled small talk) are long; 5 Oct agenda was Ashton's own philosophical outline, so tangent% there is ~0 by rubric even though he monologued — see monologue column.
- Not reviewed line-by-line: I skimmed ~100-150 chars of each block plus spot-checked ~40 blocks in full; boundary blocks may be misclassified.
- Manual judgments are in labels.py; per-block labels in segments_labels.csv.
